CAS, MITRA and keeping your folios tidy

One statement for every holding, a free search for forgotten folios, and five habits that stop money going unclaimed.

Paperwork does not end when the SIP starts. Over a few years, an investor who has tried two apps, changed jobs and moved house can easily end up with holdings scattered across folios, some under an old email, one of them forgotten entirely. India has thousands of crores sitting in mutual fund folios that nobody is claiming. The fix is two free tools, CAS and MITRA, and a few habits that take an hour a year.

CAS: one statement for everything

The consolidated account statement is a single document listing every mutual fund holding under your PAN, across every fund house and both registrars. SEBI requires it to be sent monthly by email when there has been a transaction, and at least once every six months regardless. If you also hold shares in a demat account, the version from your depository, NSDL or CDSL, includes those too, and the mutual fund units alongside them.

You can request a CAS at any time from the CAMS or KFintech website using your PAN and email, or from your depository. Choose the "detailed" version. It shows, for each folio, the scheme, the plan (regular or direct), the units held, the current value, the nominee status and the registered contact details. That last column is the one to study. Any folio showing an email you no longer use, or a mobile you have changed, is a folio you could lose track of.

Example
Folio A, flexi-cap, regular plan, nominee registered₹84,500
Folio B, same AMC, same scheme, opened via an old app, no nominee₹22,300
Folio C, liquid fund, email is an old office address₹41,000
Total holdings under one PAN₹1,47,800, two folios needing attention

Folios A and B hold the same scheme at the same fund house. They can be merged into one with a short consolidation request to the AMC, which brings the nominee and contact details of the surviving folio to all the units. Folio C just needs a contact update. An hour of forms, and the whole picture lives in one place.

MITRA: finding what you forgot

MITRA, the Mutual Fund Investment Tracing and Retrieval Assistant, is a SEBI-backed search run jointly by the registrars. It lets you look for folios in your name, or in the name of a family member who has passed away, that have had no transactions for a long time or where the contact details are stale. You search with PAN, name and date of birth, and it points you to the fund houses holding the dormant folios. Claiming them is then a matter of updating KYC and contact details with that AMC, or, for a deceased relative, submitting the transmission paperwork. If you have ever invested through an employer scheme, a bank relationship manager or a now-closed app, it is worth a search. It costs nothing.

Habits that keep folios tidy

  1. One email, one mobile, forever. Use a personal address you will keep, never an office one. Every folio should show the same contact details.
  2. Nominee on every folio. The CAS shows which folios lack one. Fix each.
  3. Merge duplicates. Same scheme, same AMC, same holder pattern means one folio is enough. Keep the one with the correct details.
  4. Update KYC when life changes. New address, new surname, new bank: update once with the KYC agency and it flows to every fund house.
  5. Read the CAS twice a year. Total value, number of folios, plan type, nominee. Five minutes.

One detail the CAS makes visible is the plan. Regular plan folios carry the distributor's commission inside the expense ratio, and the statement will show the ARN of the distributor who serviced the folio. Folios opened through a distributor show that distributor's ARN. Direct plan folios show no ARN and have a lower expense ratio, which is the trade for doing the work yourself. The CAS lets you see exactly which is which, so you can decide with open eyes rather than discover years later that you did not know what you held.

Exam trap
Watch out. A folio with an old email, no nominee and no transactions for years is on a slow path to becoming unclaimed. Fund houses are required to keep trying to reach you, but they can only use the details they have. The CAS is the only place all your folios appear together, so if you read nothing else, read that.

Remember

  1. CAS lists every mutual fund folio under your PAN, across all AMCs and both registrars. Request the detailed version.
  2. Study the contact and nominee columns. An old email or missing nominee is a folio you could lose.
  3. Merge duplicate folios in the same scheme at the same AMC. One consolidation request does it.
  4. MITRA is a free SEBI-backed search for dormant folios, yours or a late relative's.
  5. One email, one mobile, nominee everywhere, KYC updated when life changes, CAS read twice a year.
